Contribution Statement

How to Navigate the ‘Reporting by Contribution Statements’ Page of the Contribution Module in the Admin Portal

  1. Log In – Make sure you’re signed into your ChurchPad account.

  2. Click your Profile Icon at the top right.

  3. From the dropdown menu, select "Admin"

  4. You are now in the Admin Portal.

  5. From the left-hand sidebar, click Contributions to expand its menu. Then select Reports

  6. From the top navigation within Reports, click Contribution Statements.

Note: You’ll see other tabs like Reporting by Numbers and Reporting by Donors; make sure the Contribution Statements tab is selected.


Year Filter

At the top of the page, you’ll see a Year dropdown (e.g., “2024,” “2023,” “2022”). This is the only filter on this page:

  1. Choose the Year you want to review (e.g., 2024).

  2. The system automatically refreshes the list of donors and their total contributions for that chosen year.

Note: If a donor has given in multiple years, you can switch between years to see each year’s total.


Statements Table Overview

Below the Year filter is the Statements Table, typically showing:

  1. User: Donor’s name and email.

  2. Phone: Donor’s phone number (if on file).

  3. Envelope ID: The giving envelope number, if your church uses it.

  4. [Year] Contribution: The total amount of donations for that donor in the selected year.

  5. Actions: Often a dropdown or “Details” button to see or view statements and send statements via sms or email.


Viewing or Sending Statements

  1. Locate the Donor you want. Scroll or use the search bar.

  2. Click the Details Drop-down to open the donor’s statement.

    1. Standard Statement: An itemized list of contributions plus a summary total.

  1. Official Donation Receipt: A formal letter, often used for tax purposes.

  1. Send Statement: Select Email or SMS to deliver the statement to the donor.

    1. Send via Email: Sends the statement PDF to the donor’s email address on file. You might see a confirmation like “Are you sure you want to send this statement via Email…?”

b. Send via SMS: If SMS is enabled and the donor has a valid phone number, you can send a link to the statement via text message.

c. A confirmation window typically appears (e.g., “Are you sure you want to send this statement to John Doe?”).


Downloading or Printing Statements

  1. Download Button: Near the top-right, look for a Download dropdown.

  2. Download Current vs. Download All:

    1. Download Current exports only the currently displayed records (based on your filters).

    2. Download All exports every record in the entire list, ignoring filters.

  3. Individual Downloads: If you open a single donor’s statement, there might be a Print or Download PDF button for just that donor’s statement.
