How to Navigate the ‘Email Notification Template’ Page of the Messaging Settings Module in the Admin Portal

  1. Log In – Make sure you’re signed into your ChurchPad account.

  2. Click your Profile Icon at the top right.

  3. From the dropdown menu, select "Admin."

  4. You are now in the Admin Portal.

  5. From the left sidebar menu, click on Settings.

  6. Under the Settings menu, select the ‘Messaging’ option. Select the Email Templates Tab. You’ll land on the table of all system templates.


Overview of the 16 System‑Generated Email Templates

  1. Sign‑Up Email When a new member completes their registration or sign-up, the system immediately sends this welcome message to the email address they provided.

  2. Unsubscribe Email If a member clicks the “unsubscribe” link in any mailing, they receive this confirmation letting them know they’ve been removed from future communications.

  3. RSVP Email As soon as a member RSVPs for an in‑person event—say, Sunday service or a small group gathering—they get this confirmation of their reservation.

  4. UNRSVP Email If that same member later cancels their RSVP, this cancellation notice goes out, so they know their spot has been released.

  5. Attendance Check‑in Email When a member physically checks in at your service or event (via kiosk or mobile), this email confirms their attendance and may include event details or next steps.

  6. Child Check‑in Email Whenever a parent or guardian checks a child into your kids’ ministry, this notification is sent to the parent’s inbox, often containing the child’s check‑in code or safety details.

  7. Child Check‑out Email Later, when that child is checked out, the parent receives this follow‑up email confirming pickup and any pertinent information (e.g., name of the volunteer who released them).

  8. Follow‑up Module Email 1 A member of your follow‑up leadership team is alerted by this email whenever someone submits the “I’m New Here” guest form so they can review the submission.

  9. Follow‑up Module Email 2 The guest themself receives this thank‑you or confirmation message after they submit the “I’m New Here” form, letting them know you’ve received their information.

  10. Follow‑up Module Email 3 Once the supervisor assigns that new guest to a specific follow‑up team member, that team member gets this assignment notification.

  11. Follow‑up Module Email 4 This message goes to the guest again, informing them that a team member will be reaching out soon—often including a personalized greeting from your pastor or leadership.

  12. Follow‑up Module Email 5 If a team member hasn’t followed up within your defined SLA (service‑level agreement), the system escalates the issue by sending this alert to the follow‑up supervisor.

  13. Follow‑up Module Email 6 Simultaneously, the assigned team member receives a gentle reminder that they still need to contact the guest.

  14. Follow‑up Module Email 7 When a guest is reassigned to a different team member—perhaps due to workload or availability—the newly responsible team member is notified with this email.

  15. Follow‑up Module Email 8 The previous (now inactive) team member also receives notice that the guest has been taken off their roster and handed to someone else.

  16. Follow‑up Module Email 9 Finally, once a follow‑up team member closes out their guest assignment—indicating the process is complete—this summary or closure notice is sent to the team supervisors for their records.


Understanding the Email Template Listing

  1. Template Name The label ties to a system event (e.g., “Sign‑Up Email,” “RSVP Email”). It shows you what action triggers the message.

  2. From Name The display name your members see in their inbox (usually your church’s official name). Consistency helps with recognition.

  3. From Address The email address the message comes from (and where replies go). Make sure it’s monitored by your team (e.g., [email protected]).

  4. Subject Line The full subject your members see. Keep it clear and relevant (e.g., “Welcome to Our Community!”).

  5. Body Preview A quick snippet of the first sentence or two. Click View to open and edit the full message, including any placeholders.

  6. Last Edited The date and time the template was last changed—useful for auditing and keeping content fresh.

  7. Actions Buttons for managing the template. View opens the template editor. The ▼ menu may include Edit only.


Searching, Viewing & Editing Templates

  1. Filter

    1. Type keywords (e.g., “Follow‑up”, “RSVP”) into the Search… box to narrow the list.

  2. View or Edit

    1. Click View on the right of any row to open the template editor.

    2. Fields you can edit:

      1. Sender Name

      2. Sender Email

      3. Subject

      4. Message Body (rich‑text editor)

    3. Use the Variable Data panel on the right to copy/paste placeholders (e.g., {FIRSTNAME}, {SERVICE}, {FORGOTPASSWORDLINK}) into your message.

  3. Save Changes

    1. After editing, click Save Changes (top‑right of the modal) to update the system template.
