How to Navigate the ‘Groups’ Page of the People Module in the Admin Portal

  1. Log In – Make sure you’re signed into your ChurchPad account.

  2. Click your Profile Icon at the top right.

  3. From the dropdown menu, select "Admin"

  4. You are now in the Admin Portal.

  5. From the left sidebar menu, click on “People”.

  6. Under the People menu, select the Groups and Service Unit option. You will be taken to a page with Multiple Tabs: Groups and Service Unit.


Group Listing Page Overview

  1. Header Section

    1. Tabs (Groups / Service Units): At the top-left, you can switch between viewing standard “Groups” or specialized “Service Units.”

    2. Search Bar (“Type to search…”): Allows you to quickly filter or find specific groups by typing a group name or keyword.

    3. Download Button: Exports the current list of groups (or service units) into a file, often CSV or Excel, for offline record-keeping.

    4. The Add Group Button opens the “Add Group” form, where you can create a new group by specifying its name, description, meeting times, etc.

  2. Total Count

    1. Just below the tabs or near the listing title, you’ll see something like “Total: 55,” indicating how many groups are currently displayed.

  3. Groups Table Each row in the table represents a single group. Common columns include:

    1. Name: The group’s name (e.g., “Claus,” “Coffee Lovers”).

    2. Members: Displays the total number of approved members in that group.

    3. Pending Approvals: This shows how many people have requested to join but are awaiting approval.

    4. Leadership: May display the number of coordinators or leaders, or list them by name.

    5. Date Created: Indicates when the group was added to your system.

  4. Actions Column On the far right, each group row has an Actions dropdown or button. Clicking it typically reveals several management options, such as:

    1. View Members: Opens a detailed view or table of all current members in that group.

    2. Add Member: Launches a pop-up to search and add new members from your directory.

    3. View Group Leader and Coordinators: This option lets you see or manage who coordinates the group (e.g., adding or removing coordinators).

    4. Edit Service Groups: (If applicable) Opens a form to edit the group’s service unit details.

    5. Delete Group: Permanently removes the group after a confirmation prompt.


Adding a New Group

  1. Locate the “Add Group” Button: On the Groups page, look for the “Add Group” button (as seen in the Add Group.png screenshot).

  2. Fill in the Group Details: Clicking “Add Group” will open a form where you can enter:

    1. Group name

    2. Description

    3. Associated service unit details

    4. Other relevant information

  3. Save the New Group: Once all required fields are filled in, click the “Save” button to add the group. The new group will now appear in the listing.


Managing Group Members

Effective group management often requires dynamic handling of membership. This section is divided into adding new members, managing pending requests, and reviewing approved members.

A. Adding New Members

  1. Access the Members Section: Within a group’s detailed view, locate the “Add Members” button

  2. Select Members: You may have the option to search for people by name or select from a list. Check the desired individuals.

  3. Confirm Addition: Once selected, confirm your choice. New members will be added to the group and appear in the current members list.

B. Viewing and Managing Pending Members

  1. Pending Members Table: Some groups require approval for new members. Click on the “Pending Members” tab.

  2. Approval Process: In the pending list, you can review each request and either approve or reject membership. Approvals add members to the active list, while rejections remove the pending request.

C. Viewing Approved Members

  1. Approved Members List: To see members who are fully part of the group, use the “View Approved Members” feature (as seen in View Approved Members Table.png).

  2. Member Details: This list often includes additional details such as roles, join date, or contact information.


Editing an Existing Group

  1. Find the group you wish to modify in the listing and click the edit button on the action column.

  2. The edit screen will load with all current details pre-populated for that group.

  3. Edit the group name, description, associated service unit, or any other editable field as needed.

  4. Once changes are complete, click “Update.” The updated details will be reflected immediately in the group listing.


Viewing Group Coordinators

  1. Access Coordinator Details: For each group listed in the action column, an option labeled "View Group Coordinators" is available. Upon selection, a dedicated page will be displayed.

  2. Page Layout and Components

    1. Page Title -The title at the top (e.g., “Group Leaders for Coffee Lovers”) indicates which group’s coordinators you are currently viewing.

    2. Search Bar - A “Type to search” field allows you to quickly find a specific coordinator if there are multiple leaders listed. Simply type the coordinator’s name or other identifying information to filter the list.

    3. Coordinator List - Each coordinator is displayed in a row containing:

      1. Name/Email: Identifies the person serving as a coordinator.

      2. Phone: Displays the coordinator’s phone number (if available).

      3. Actions: Provides one-click options such as “Remove” to revoke coordinator status from that individual.

    4. Add Co-Coordinator Button

      1. Clicking Add Co-coordinator opens a prompt or modal where you can select additional individuals to serve as coordinators for the group.


Deleting a Group

  1. Locate the Delete Option: From the group listing, find the “Delete” option under the action column

  1. Clicking the delete icon will typically trigger a confirmation dialog. Read the warning carefully.

  2. Confirm that you want to delete the group. The group will then be removed from the listing permanently, unless your system has an undo or archive feature.
